This privacy statement describes when and why Whitemilk BV (hereinafter Whitemilk) collects information about you, the website visitor, how we use it and how we safeguard it. In this way, we want to communicate as clearly as possible about how we handle personal data. In any case, Whitemilk adheres to applicable laws and regulations, including the General Data Protection Regulation (AVG, effective 25/5/18) and the Privacy Protection Act of 8 December 1992 in relation to the processing of personal data.

This privacy policy will be updated regularly, so please check this page from time to time to ensure you agree to any changes. By using this website, you agree to the privacy policy.

Whitemilk takes the protection of your personal data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure or unauthorised modification. In the event of a breach of our IT systems, Whitemilk will immediately take all possible actions to minimise the damage.

Who are we?

Whitemilk designs, integrates and rents audiovisual solutions that connect people.... We are present in boardrooms, meeting rooms, collaborative workspaces of all sizes, boardrooms, auditoriums and control rooms, and we provide technology during world-class B2B events.

This privacy policy applies to all Whitemilk services:

  • The online services: websites, applications, and internet services that give you access to Whitemilk's content.
  • All other services with which you interact.

How do we collect information

We hold your data when you actively use the website, when you contact us or subscribe to our newsletter.

You are never obliged to disclose personal data, but understand that we cannot provide certain services if you refuse processing.

What information do we collect?

Most of the information on Whitemilk's website is available without you having to share any personal information. Only when you register for activities or for our newsletter, when you download certain documents or collaborate with us on projects, personal information will be requested. This includes, for example, your first and last name, your e-mail address, address and telephone number. We store these to make it easier for us to contact you in connection with orders and invoices. We also store your IP address, which enables us to remember your preferences. In addition, we store log files (opened pages, browser...). We use cookies and similar technologies.

More specifically, these are the personal data you communicate to us:

  • IP address (without registration). We may look at your IP address online so that we can remember your preferences and better tailor our services to your needs.
  • E-mail address: we make some services available via e-mail. We also send our newsletter by e-mail. If you prefer not to receive newsletters and ad hoc mailings anymore, you can easily unsubscribe via the unsubscribe link at the bottom of the newsletter.
  • First and last name: in order to address you personally in our communications, we would like to know your first and last name. Whitemilk asks for this when subscribing to our newsletter, for workshops/inspiration days and to register your order.
  • Address, place of residence and telephone number: for most services, Whitemilk does not need your (home) address or private telephone number. Therefore, by default we do not ask for this.
  • Company name, sector and company number: Whitemilk works for professional clients and therefore also requests the company's details so that we can take them into account in our services.
  • Publicly available professional information: if our services require it, we reserve the right to look up and document publicly available information about you or your company (e.g. on your own website, in the Crossroads Bank for Enterprises, in the National Bank's Balance Sheet Centre,...).
  • Account data (profile name and password): some parts of our websites can be accessed via a log-in.
  • History of orders: in order to serve you smoothly with questions and comments, we keep the history of your orders.
  • Search settings: via cookies.

  • Functional cookies: With these cookies, Whitemilk ensures that you enjoy optimal ease of use. They make sure you don't have to fill in a form every time you reload a page and that you can watch YouTube videos.
  • Analytics cookies: Whitemilk strives to always do better. Not only in our service, but also in the ease of use of our websites. Thanks to analytical cookies and Google Analytics, we gain insight into your browsing behaviour. This allows us to gain more knowledge and make our sites more customer-friendly.
  • Marketing cookies: marketing cookies allow us to optimise our marketing campaigns based on your browsing behaviour on our websites. Personal data are stored in these cookies.

Our cookies never link to your name and/or first name.

What do we do with your data?

We collect personal data to offer our users even better services. We get to know you better and, on that basis, we can tailor our services to your needs. In addition, this personal data enables us to contact you easily.

Whitemilk guarantees you that personal data are only stored and processed to provide the information you requested, to realise the service you want (based on your permission and/or the execution of an agreement) or to monitor visitor behaviour so that we can optimise our services (based on a legitimate interest).

We may use your data to:

  • Provide you with our services in a qualitative manner;
  • Process orders you place with us;
  • Answer questions you ask us;
  • Process registrations for events;
  • Recognise you as a registered user;
  • Ask your opinion about our products and services;
  • Keep you informed about our offers;
  • Inform you of any changes;
  • Send you information that you request or news that may interest you, this includes the programming of our events, information on purchases and tickets and exclusive benefits linked to us or our partners;

Data we collect from you Whitemilk stores in its system in accordance with the provisions of the General Data Protection Regulation (GDPR).

How long do we keep your data?

Whitemilk does not retain and process your personal data for longer than is strictly necessary to fulfil the purposes for which your data is collected:

  • Cookies: 1 year
  • Customer and supplier management: 10 years after end of agreement
  • Direct marketing: 3 years after last meaningful contact, on the understanding that a renewal of this term is possible with your consent
  • Job applicants: 1 year after receipt of personal data
  • Legal obligations: legal retention period


Data will not be kept longer than necessary to provide our services or for the period necessary to comply with legal requirements (including for accounting purposes).

Who has access to your data?

Whitemilk does not sell, rent or distribute data to third parties. We also do not share your data for marketing purposes. Your personal data is only disclosed to third parties who cooperate with the services we provide. Whitemilk requires these recipients to take the necessary technical and organizational measures to protect personal data.

All data is stored securely on our own servers, in our CRM/mail provider (Hubspot) and at the cloud software we use for the partner spaces and service desk (Atlassian, we endorse the Atlassian Data Processing Addendum). All data is password protected. Only those authorised for communication and data analysis have access to this information.

For a limited time, Whitemilk may retain, use and scan copies of your data, e.g. for technical maintenance, for testing and improving the websites.

Whitemilk may exceptionally share your personal data with:

  • Service providers acting as processors for Whitemilk: freelance employees, IT service providers. They only have access to the data they need to fulfil their mission and for a limited time.
  • Professional advisers to Whitemilk, such as law firms and accountants.
  • Partner organisations that organise a service together with us. This will always be indicated where your data is requested.


In the event of full or partial reorganisation or transfer of Whitemilk's business, your data may be transferred to new entities or third parties who take over all or part of Whitemilk's business. If such an event occurs, Whitemilk will endeavour to notify you in advance, but is aware that this may not be technically or commercially feasible in all circumstances.

You choose

You choose whether you want to receive information from us. Whitemilk will never mail, send a letter or call you without your permission, unless it is for a targeted and personal request. You can also unsubscribe from our mailing list at any time via the link at the bottom of the latest promotional email or by sending an email to inquiries@whitemilk.be.

You always have the right to consult your personal data and verify their accuracy. You are free to disclose or not disclose your personal data to Whitemilk and you may also ask to restrict its processing, but please be aware that we cannot provide some services without certain data. If you wish to access, amend or delete your personal data, please email inquiries@whitemilk.be.

You also have a right to object to the processing of your personal data for serious and legitimate reasons.

You can request more information on this or lodge a complaint with the Data Protection Authority via e-mail (contact@apd-gba.be) or via a form on the website (http://gegevensbeschermingsautoriteit.be).

In addition, you can always oppose the use of personal data for direct marketing; you do not need to provide a reason for this.

If you have consented to the processing of your personal data, you can always withdraw your consent at a later date.

Sensitive information

Any kind of sensitive information (such as credit card data) is encrypted. You can recognise a secure page by the lock logo in the browser bar. Third-party payment processors are also subject to strict security rules.

The security of such a transaction can never be fully guaranteed. As a result, you make such a transaction at your own risk. However, once we have received your information, we make every effort to keep it secure and encrypted in our system.

Less sensitive information such as your e-mail address is handled in a regular manner.

Sixteen or younger

Whitemilk pays extra attention to the privacy of young people and children under sixteen. If you are sixteen or under, please get permission from a parent or guardian before providing us with your personal data.
